Urgent Hiring For Executive Assistant
Location - GK 2 Delhi
Company Profile - Manufacturing
Key Responsibilities:
1. Calendar and Schedule Management:
- Manage the Managing Director's calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate and prioritize appointments, ensuring efficient use of the Managing Director's time.
- Arrange and organize internal and external meetings, including coordinating logistics, preparing meeting materials, and taking minutes when necessary.
2. Communication and Correspondence:
- Draft and prepare correspondence, reports, presentations, and other documents on behalf of the Managing Director.
- Maintain effective communication channels with internal and external stakeholders, ensuring timely and accurate information flow.
3. Information Management:
- Organize and maintain confidential files, records, and databases.
- Conduct research and gather information as requested by the Managing Director.
- Prepare and consolidate reports, presentations, and data analysis for decision-making purposes.
4. Travel and Logistics:
- Arrange domestic and international travel itineraries, including flights, accommodations, ground transportation, and visas.
- Prepare travel expense reports and reconcile invoices and receipts.
5. Relationship Management:
- Build and maintain positive relationships with internal and external stakeholders, including staff, clients, suppliers, and partners.
- Coordinate and facilitate communication and collaboration between the Managing Director and other team members.
6. Event and Project Support:
- Assist in planning and organizing corporate events, conferences, and meetings.
- Provide support for special projects and initiatives as assigned by the Managing Director.
Qualifications and Skills:
- Proven experience as a Personal Assistant, Executive Assistant, or similar role, preferably supporting senior executives or managing directors.
- Strong organizational and multitasking abilities, with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proficient in using productivity tools such as Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Discretion and confidentiality in handling sensitive information.
- Ability to prioritize and meet deadlines in a fast-paced environment.
- Professional demeanor and strong interpersonal skills.
- Flexibility to adapt to changing priorities and work independently with mínimal supervision.
- Bachelor's degree in business administration or a related field is preferred but not mandatory.
