Senior Business Operations Executive

This senior role is an exceptional opportunity to lead the operations and systems management of a dynamic organization.

Key Responsibilities:
  • Develop, implement, and maintain internal systems, SOPs, and workflows to drive operational efficiency.
  • Design and optimize tools, software, and automations to streamline processes.
  • Oversee the documentation, filing systems, and knowledge hubs to ensure seamless access to information.
  • Evaluate and enhance performance across platforms like Monday.com, GoHighLevel, Make.com, and Zapier.
  • Monitor system uptime and implement process improvements to minimize downtime.
Project and Performance Management:
  • Lead internal, client-facing, and strategic projects from kickoff to completion, ensuring timely delivery and budget adherence.
  • Plan, execute, and track key initiatives, defining, tracking, and reporting KPIs.
  • Coordinate task assignments and manage project workflows across platforms.
  • Liaise with stakeholders to implement marketing and tech strategies.
Team Leadership and Support:
  • Foster a culture of feedback, coaching, and collaboration, keeping the team engaged and supported.
  • Lead hiring, onboarding, and performance reviews, ensuring clear roles and expectations.
  • Track team response time and workflow capacity, acting as a liaison between contractors and stakeholders.
Strategic Decision Making:
  • Align daily operations with long-term business strategy, analyzing performance metrics and KPIs to guide operational decisions.
  • Use data analysis and spreadsheets to support informed decision-making.
  • Prioritize resource allocation based on capacity and business needs.
Client Success Management:
  • Oversee seamless onboarding/offboarding and proactive client communication, delivering a standout client experience.
  • Maintain operational excellence that drives referrals and rave reviews.
Requirements:
  • 5+ years of experience in operations, systems, and people management.
  • 2+ years of Digital Marketing experience.
  • Strong project management skills (e.g., Asana, Trello, ClickUp, Monday.com).
  • Proven ability to lead remote teams with a focus on accountability and performance.
  • Excellent communication and collaboration skills.
  • Strong problem-solving and decision-making abilities.
  • Familiarity with budgeting, expense tracking, and financial reporting.
  • Comfortable with remote tools (Slack, Zoom, Google Workspace, CRMs, automation platforms).
