Job Summary

The Pune Institute of Business Management seeks a skilled Facility Manager to oversee the day-to-day operations of our students' hostel. As a key member of our team, you will be responsible for ensuring the safety, comfort, and well-being of our students.

About the Role

We are looking for an experienced professional with a strong background in facility management, hostel management, or operations management. Your expertise will enable you to effectively manage the coordination between various departments, maintain smooth functioning, and ensure cleanliness, safety, and comfort for students.

Responsibilities

  • Hostel Operations Management:
    • Oversight of day-to-day operations of the hostel, ensuring cleanliness, safety, and comfort for students.
    • Management of the coordination between various departments to maintain smooth functioning (housekeeping, security, cafeteria, etc.).
    • Supervision and training of hostel wardens to ensure effective management of hostel floors, rooms, and student behavior.
    • Ensuring regular maintenance of hostel infrastructure including rooms, common areas, restrooms, and utilities.
  • Security & Safety:
    • Ensuring all security protocols are followed to guarantee the safety of students and hostel premises.
    • Coordination with security personnel for round-the-clock surveillance and addressing any security issues immediately.
    • Monitoring safety measures, including fire safety equipment and emergency exits.
  • Housekeeping Management:
    • Supervision of housekeeping staff and ensuring cleanliness standards are maintained across all hostel areas.
    • Implementation of regular checks to assess the quality of housekeeping services, ensuring that rooms, bathrooms, and common areas are sanitized and well-maintained.
  • Cafeteria Operations:
    • Oversight of the functioning of the hostel cafeteria, ensuring food quality, hygiene, and adherence to student dietary preferences.
    • Work closely with the cafeteria vendor to ensure timely food delivery, menu variety, and maintaining cleanliness.
  • Student Welfare & Issue Resolution:
    • Acting as the primary point of contact for students' complaints and concerns regarding hostel facilities.
    • Providing timely solutions to issues related to living conditions, food, security, or any other hostel-related matters.
    • Fostering a comfortable and student-friendly environment, encouraging open communication between students and management.
  • Coordination & Reporting:
    • Supervision of hostel wardens and ensuring they are reporting daily activities and issues promptly.
    • Maintenance of daily reports of hostel operations, security updates, and student-related concerns.
    • Preparation of weekly/monthly reports on hostel performance and addressing areas of improvement.
  • Budget Management:
    • Ensuring efficient use of resources within the hostel while maintaining quality standards.
    • Oversight of budget allocation for hostel maintenance, housekeeping, security, and cafeteria operations.
  • Compliance & Policy Enforcement:
    • Ensuring that hostel policies, safety guidelines, and standard operating procedures are being followed strictly.
    • Ensuring that hostel operations comply with regulatory standards and institute policies.
  • Vendor & Supplier Management:
    • Management of relationships with vendors and suppliers for hostel services (cleaning supplies, food services, security, etc.).
    • Evaluation of vendor performance and resolution of any service-related issues.

Qualifications & Experience:

To succeed in this role, you will require:

  • A Bachelor's degree in Hotel Management, Facility Management, Business Administration, or a relevant field.
  • Minimum 5 years of experience in facility management, hostel management, or operations management, preferably in an educational institution or hospitality sector.
  • Strong leadership and team management skills.
  • Excellent problem-solving and decision-making abilities.
  • Effective communication and interpersonal skills.
  • Strong organizational and time-management skills.
  • Knowledge of safety regulations and hospitality standards.

Estimated Salary Range: ₹2,500,000 - ₹5,000,000 per annum
