
Support Specialist to Executive Lead

Primary Purpose:
This Support Specialist role requires an individual with excellent organizational and communication skills.
Key Responsibilities:
- Coordinate executive schedules, ensuring seamless planning of appointments, meetings, and conferences.
Support the Executive Lead in their daily activities, providing timely reminders and updates as needed.
Handle all incoming and outgoing correspondence, prioritizing tasks effectively to meet deadlines.
Maintain accurate records, both physical and digital, ensuring easy access to critical information.
Conduct research and prepare reports as required, utilizing various tools and software to enhance productivity.
Serve as a liaison between the Executive Lead and other stakeholders, fostering strong working relationships across departments.
Monitor office supplies, negotiating with vendors to secure cost-effective solutions.
Assist with preparing presentations, maintaining electronic files, and ensuring data accuracy.
Provide exceptional customer service, responding promptly to inquiries and addressing concerns in a professional manner.
Flexibility is key in this role, as occasional adaptability may be required to support project-specific needs.
Foster a collaborative environment, promoting open communication among team members.
Secondary Responsibilities:
- Occasionally assist with tasks outside of regular duties, supporting the broader goals of the organization.
- Procure necessary materials and supplies, ensuring the workspace remains efficient and organized.
- Organize team events, such as lunches and meetings, to foster camaraderie and teamwork.
Work Relations:
Internal:
- Maintain a close working relationship with the Executive Lead, reporting on functional and administrative matters.
- Collaborate with personnel from various departments, including those based remotely or in different locations.
- Interface with the leadership team, staying informed about organizational initiatives.
- Communicate with HR, Finance, Technology, and other operational teams as needed.
External:
- Interact with external vendors for any functional issues.
- Engage with parents to ensure timely communication of school information and address any parental concerns.
