Administrative Support Specialist for CEO

Admin Looks is seeking an exceptional Executive Assistant to provide top-notch administrative support to the Chief Executive Officer. The ideal candidate will be proactive, resourceful, and able to handle a wide range of administrative tasks efficiently.
The successful candidate will be responsible for calendar management, travel management, expense management, time management, making minutes of meetings, desk management, data management, visitor profile screening, email management, and taking phone calls on behalf of the CEO.
This role may involve travelling for events and exhibitions, providing on-ground assistance as and when required.
The Executive Assistant will act as a barrier and door keeper for the CEO, managing internal and external clients and meetings. They will become the face of the management for all internal and external meetings and decision making.
Key Responsibilities:
- Manage and maintain CEO's calendar, including scheduling meetings and appointments.
- Coordinate travel arrangements and prepare detailed itineraries.
- Prepare and edit correspondence, reports, and presentations.
- Handle confidential information with discretion.
- Assist with special projects and events as needed.
Requirements:
- Bachelor's degree in Business Administration or related field.
- Minimum of 8-10 years of experience as an Executive Assistant.
- Proficient in Microsoft Office Suite (MS Word, Excel, PowerPoint, Outlook etc).
- Strong communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
Preferred Qualifications:
- Experience in the Construction/Infrastructure industry.
