The role of a Support Coordinator is to provide administrative support to senior staff members, ensuring the smooth operation of their day-to-day activities. This position involves handling various tasks, including answering phone calls, making appointments, and maintaining calendars.

The ideal candidate should possess excellent communication skills, be proficient in Microsoft Office Suite, and have experience working as a secretary or administrative assistant. Strong organization and multitasking skills are essential for this role, as well as the ability to work effectively under pressure and maintain confidentiality when dealing with sensitive information.

Responsibilities:

  • Answering phones and directing them to the correct person or department.
  • Making appointments and keeping calendars for staff personnel.
  • Organizing and managing physical and electronic files.
  • Assisting with basic bookkeeping duties, including invoicing and spending monitoring.
  • Handling incoming and outgoing correspondence.
  • Making travel arrangements and lodgings.
  • Assisting with meeting and event planning, including agenda creation and minute taking.
  • Performing general office chores, such as ordering supplies.
  • Maintaining the secrecy of sensitive information.

Requirements and Skills:

  • Proven experience working as a secretary or administrative assistant.
  • Proficient with Microsoft Office Suite and other office management tools.
  • Excellent communication and interpersonal abilities.
  • Strong organization and multitasking skills.
  • Ability to prioritize tasks and operate effectively under duress.
  • When dealing with confidential material, exercise discretion and integrity.
  • Flexibility and adaptability to shifting priorities and situations.
