- Facilities Management:
- Oversee the upkeep of our office infrastructure, including electricity, utilities, IT systems, and vendors.
- Maintain a safe and secure work environment for employees by ensuring compliance with all relevant regulations and standards.
- Daily Operations:
- Manage daily activities such as housekeeping, pantry, stationery, front desk, security, and visitor management.
- Monitor and maintain high standards of hygiene, consumables, and office cleanliness.
- People and Access Management:
- Coordinate onboarding processes, including desk setup, ID/access cards, and basic kits for new joiners.
- Manage exits, asset returns, access deactivation, and clearances in accordance with company policies.
- Vendors, Leases & Projects:
- Negotiate and maintain relationships with reliable vendors, track service level agreements, and monitor quality.
- Coordinate lease agreements, office fit-outs, repairs, and landlord escalations to ensure a smooth working environment.
- Bills, Cash & Records:
- Verify bills and reconcile petty cash to ensure accurate financial records.
- Maintain records for leases, insurance, licenses, and safety certificates.
- Compliance and Safety:
- Ensure that all necessary documents, including NOCs, insurance, safety certificates, and first-aid kits, are up to date and audit-ready.
- Reporting and KPIs:
- Prepare monthly management information reports, highlighting spend vs budget, incidents, vendor scorecards, SLA compliance, and risks/fixes.
- Track key performance indicators, including utility uptime, hygiene audit scores, ticket closure times, and budget adherence.
- After-Hours Readiness:
- Ensure that the office is ready for late-shift workers and provide on-call support for urgent issues.
Requirements:
- At least 10 years of experience in facilities or office administration, with a stable employment history and clean references.
- Hands-on experience with utilities, IT systems, vendors, and housekeeping.
- Strong negotiation, documentation, and Excel/email skills.
- Trustworthy with sensitive information, including keys, cash, and confidential data.
