Job Title: Chief Operations Assistant

We are seeking a highly organised and proactive Chief Operations Assistant to support the founder across various aspects of operations, strategy, personal logistics, and wellness. This role combines executive assistance, project management, personal training, and lifestyle optimisation.

Key Responsibilities:
  • Manage the calendar, fitness schedule, travel, and personal logistics effectively.
  • Drive the founder to meetings, events, and personal commitments with punctuality and reliability.
  • Track birthdays, social events, and personal commitments; ensure timely execution with attention to detail.
  • Refill and organise personal supplies (supplements, grooming items, essentials) in a timely manner.
  • Ensure car cleanliness, servicing, and maintenance schedules are met.
  • Handle gifting, printing, parcel pickups/deliveries, and event coordination with professionalism.
  • Coordinate with external vendors, service providers, and partners efficiently.
Operations & Team Management:
  • Lead operational execution: schedules, workflows, communications, and follow-ups with high ownership.
  • Track attendance, payroll, payouts, and team bandwidth accurately.
Project & Strategy:
  • Ensure clear meeting documentation: notes, insights, and actionable follow-ups are maintained.
  • Utilise Notion, Asana, Google Workspace, and AI tools to streamline workflows effectively.
  • Partner with the founder on brand strategy, pitches, and business development with creativity and enthusiasm.
  • Conduct research, audits, and prepare strategic presentations with accuracy and precision.
  • Monitor accountability across stakeholders and projects with transparency and honesty.
Personal Training & Wellness:
  • Conduct daily personal training sessions as required, prioritising client needs and satisfaction.
  • Design and adapt fitness programs, track progress, and ensure safe, effective sessions with expertise and care.
Qualifications:
  • Graduate degree in Business, Management, or related fields is an advantage.
  • 1–2 years of experience in EA, operations, or support roles is desirable.
  • Certified personal trainer (preferred, or demonstrable training experience) will be considered favourably.
  • Valid driving license (mandatory) ensures compliance with company policies.
