Job Title: Admin & Invoicing Executive

This is a full-time position based in Kottayam, India.

The role falls under Corporate Security and Investigations (CSI) with a sub-function of Security Operations and Invoicing Finance Support.

Key Responsibilities:
  • We are seeking an individual to prepare, verify, and process invoices accurately and in a timely manner.
  • This person will reconcile discrepancies in invoices and resolve queries with internal teams/vendors.
  • Maintenance of invoice records and ensuring compliance with company policies and statutory requirements is also expected.
  • Assistance in preparing month-end invoicing reports and supporting documentation for audits is required.
  • Follow up with clients/vendors for pending payments or clarifications is necessary.
Administrative Support:
  • Daily administrative tasks including documentation, record management, and correspondence need to be handled.
  • Support vendor management processes including onboarding, compliance checks, and payment coordination.
  • Employee expense reimbursements and petty cash management may require assistance.
  • Provide administrative support to the Finance and Operations teams as required.
Qualifications:
  • Proven experience in office administration and vendor coordination is essential.
  • A degree plus relevant administrative experience, strong organizational skills, and proficiency in office software are needed.
  • Strong organizational and multitasking skills are required.
  • Proficiency in the Microsoft Office suite encompassing Word, Excel, PowerPoint, Outlook etc. is necessary.
  • MIS development and management requires competency.
  • Excellent communication and interpersonal skills are required.
