Job Description

The Executive Assistant function at Anand Rathi Insurance Brokers Ltd plays a pivotal role in providing comprehensive administrative and operational support to the Director and CEO. This position ensures effective coordination, communication, and assistance to enhance productivity and efficiency of top management.

Key Responsibilities
  • Schedule Management: Efficiently manage and coordinate the Director's and CEO's calendars, schedules, and appointments, prioritizing tasks and ensuring optimal time management.
  • Communication and Correspondence: Facilitate effective communication between the Director, CEO, and internal/external stakeholders by managing emails, letters, and phone calls, drafting and proofreading correspondence on behalf of the Director and CEO.
  • Meeting Coordination and Documentation: Organize, coordinate, and document meetings, ensuring all necessary materials and documents are prepared and distributed in advance, recording minutes of meetings and following up on action items.
  • Confidential Information Management: Maintain strict confidentiality in handling sensitive information related to the Director, CEO, and organizational matters, safeguarding and managing confidential documents and data.
  • Travel and Itinerary Management: Arrange travel logistics, including flights, accommodations, and transportation, for the Director and CEO, creating detailed travel itineraries and ensuring smooth travel experiences.
Required Skills and Qualifications
  • Organizational Skills: Possesses strong organizational abilities to efficiently manage multiple tasks, deadlines, and priorities, demonstrating attention to detail in coordinating complex schedules and activities.
  • Communication and Interpersonal Skills: Exhibits excellent written and verbal communication skills to effectively interact with diverse stakeholders, demonstrating a high level of professionalism, tact, and diplomacy in all interactions.
  • Time Management and Prioritization: Efficiently manages time and priorities, ensuring the Director's and CEO's schedules are optimized for productivity and effectiveness, adapting to changing priorities.
  • Adaptability and Flexibility: Adapts quickly to changes in priorities, schedules, and organizational needs, remaining flexible and open to adjusting plans as required in a fast-paced work environment.
Personal Qualifications
  • Education: A bachelor's degree in business administration, office management, or a related field is preferred.
  • Experience: Prior experience in executive assistant roles or administrative positions supporting senior management is advantageous.
  • Confidentiality and Ethics: Upholds high standards of confidentiality, ethics, and integrity in handling sensitive information and interactions.
  • Technology Proficiency: Proficient in using office productivity software (Microsoft Office, Google Workspace) and calendar management tools.
Compensation Package

An estimated salary range for this position is ₹800,000 - ₹1,200,000 per annum, based on industry standards and market conditions in India.
