Job Summary

We are seeking a highly skilled and experienced Senior Administrative Liaison to provide comprehensive administrative support to our Chief Executive Officer.

Responsibilities
  • Schedule Management: Efficiently manage and coordinate the CEO's calendar, schedules, and appointments, prioritizing and arranging meetings to ensure optimal time management and alignment with strategic objectives.
  • Communication and Correspondence: Facilitate effective communication between the CEO and internal/external stakeholders by managing emails, letters, and phone calls, drafting and proofreading correspondence on behalf of the CEO.
  • Meeting Coordination and Documentation: Organize, coordinate, and document meetings, ensuring all necessary materials and documents are prepared and distributed in advance, recording minutes of meetings and following up on action items.
  • Confidential Information Management: Maintain strict confidentiality in handling sensitive information related to the CEO and organizational matters, safeguarding and managing confidential documents and data in a secure and organized manner.
  • Travel and Itinerary Management: Arrange travel logistics, including flights, accommodations, and transportation, for the CEO, creating detailed travel itineraries and ensuring smooth travel experiences.

  • Organizational Skills: Possesses strong organizational abilities to efficiently manage multiple tasks, deadlines, and priorities, demonstrating attention to detail in coordinating complex schedules and activities.
  • Communication and Interpersonal Skills: Exhibits excellent written and verbal communication skills to effectively interact with diverse stakeholders, demonstrating a high level of professionalism, tact, and diplomacy in all interactions.
  • Time Management and Prioritization: Efficiently manages time and priorities, ensuring the CEO's schedules are optimized for productivity and effectiveness, adapting to changing priorities and urgent matters.
  • Adaptability and Flexibility: Adapts quickly to changes in priorities, schedules, and organizational needs, remaining flexible and open to adjusting plans as required in a fast-paced work environment.
  • Interpersonal Skills: Strong interpersonal skills, including the ability to work collaboratively, build relationships, and effectively represent the CEO.
Qualifications
  • Educational Background: A bachelor's degree in business administration, office management, or a related field is preferred.
  • Experience: Prior experience in executive assistant roles or administrative positions supporting senior management is advantageous.
  • Confidentiality and Ethics: Upholds high standards of confidentiality, ethics, and integrity in handling sensitive information and interactions.
  • Technology Proficiency: Proficient in using office productivity software (Microsoft Office, Google Workspace) and calendar management tools.
