Job Title: Front Office Coordinator
Job Summary:The Front Office Coordinator is responsible for providing exceptional customer service and administrative support.
This role requires a highly organized and detail-oriented individual to manage front desk operations, handle incoming calls, maintain records, and perform various administrative tasks.
Key Responsibilities:
- Receive and transfer calls to concerned persons/departments
- Maintain internal and external call records
- Manage day-to-day administrative work, including canteen, housekeeping, security, etc.
- Prepare data related to HR/admin, such as OT canteen details
- Perform other HR & Admin-related work as required
- Document scanning, printing, and filing
- Arrange appointments, activities, and schedules
- Front Office supplies and inventory maintenance
- Guest Management
- Visitor Management:
- Welcome guests and visitors
- Arrange tea/coffee and drinking water
- Arrange setting arrangements after confirmation from concerned persons
- Arrange lunch for visitors
- Pantry Management:
- Maintain stock in pantry, including tea, coffee, sugar, biscuit, etc.
- Maintain crockery items in pantry, such as mug/cup guest lunch set, etc.
- Maintain chocolate stock against WoW card
- Manage office boy's day-to-day work during guest visits and in the office
- Check tea invoices monthly
- Courier Management:
- Daily maintain courier entries in registers and send to parties
- Distribute couriers to particular persons and maintain records
- Check monthly invoices of couriers
- Provide details of couriers as required
- Resolve issues related to couriers
- Library Management:
- Maintain library registers and issue books
- Sending reminders after due dates
- Motivate employees to read books
Essential Qualifications:
- At least 1 year of experience in administration, reception, or similar roles
- Proficient in English communication (Speaking & Writing)
