Our company seeks a professional to oversee daily operations and provide exceptional service to VIPs, CIPs, and VVIPs.

Key Responsibilities:

  • Review daily operations by analyzing records, logs, reports, and emails.
  • Identify discrepancies and implement corrective actions.
  • Lead the team in addressing next steps.
  • Collaborate with relevant departments for prompt resolution.
  • Address customer concerns and prioritize issues promptly.
  • Communicate action plans regarding complaints to stakeholders and team members.
  • Follow up on unresolved issues with concerned parties.

Short-Term Operational Planning:

  • Establish protocols for recording events and highlighting operational issues to team leaders.
  • Coordinate arrangements for VIP visits.
  • Execute planned and unplanned events/facilitation with internal and external agencies.
  • Ensure operational continuity at our facilities.
  • Record and maintain operational activities in lounges and VIP terminals.

SOP/Manual Development:

  • Frame, review, and update SOPs and guidelines for guest relations operations.
  • Plan, execute, and review agreed processes.
  • Develop contingency management procedures.
  • Identify process flaws and revise guidelines accordingly.

Admin Support for Real-Time Operations:

  • Maintain infrastructure and consumables to meet high standards.
  • Coordinate with government agencies, concessionaires, protocol departments, and major industries.
  • Engage with high officials of state and central governments.
  • Maintain relationships with High Commissions/Trade Commissions.
  • Represent us in advance protocol coordination with various authorities.
  • Support senior management in enhancing operational performance.
  • Provide resources to teams as needed.
  • Coordinate administrative tasks related to team activities.
  • Manage contractual and procurement requirements.

Team Management:

  • Oversee team members 24/7, managing manpower allocation and shift schedules.
  • Identify training needs for the GR team.
  • Manage leave and roster according to organizational policies.
  • Regularly interact with team members, consolidate feedback, and address concerns.
  • Use organizational programs to motivate and recognize team performance.
  • Complete performance evaluations, goal setting, and HR-related tasks on time.
  • Replace team members when necessary.
  • Handle recruitment, induction, training, retention, and counseling as required.
  • Organize cultural/social events for the team.
  • Ensure Business Continuity Plan readiness.
