Role Overview

We are seeking a highly skilled and experienced Executive Assistant to join our team at ekincare. This is an excellent opportunity to work in a fast-paced startup environment, supporting the CEO and contributing to the company's growth and success.

Key Responsibilities:

  • Schedule Management: Efficiently manage the executive's schedule, prioritizing conflicting needs and ensuring timely completion of tasks.
  • Travel Coordination: Coordinate all aspects of travel, including flight bookings, accommodation, transportation, and detailed itineraries.
  • Communication & Correspondence: Manage and respond to emails, letters, and phone calls on behalf of the executive, filtering inquiries and addressing issues as appropriate.
  • Meeting Preparation: Prepare agendas, materials, and presentations for meetings. Take meeting minutes and track follow-up tasks.
  • Confidentiality: Handle sensitive information with the utmost discretion and professionalism.
  • Liaison Role: Act as a key point of contact between the executive and internal/external stakeholders, including clients, vendors, and team members.
  • Document Management: Organize and maintain the executive's files, documents, and records.
  • Office Management: Manage office supplies, equipment, and overall office operations as required.
  • Event Planning: Assist in planning and organizing corporate events, team offsites, and executive-level meetings.

Required Skills:

  • Bachelor's degree with 1 to 3 years of work experience as an Executive Assistant or in a related administrative role, preferably supporting senior leadership.
  • Exceptional organizational and time-management abilities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Attention to detail and problem-solving abilities.
  • Professionalism and discretion in handling confidential information.
