Job Title: Operations Support Coordinator

We are seeking a highly experienced and organized professional to oversee the daily support operations of our company, ensuring all activities run efficiently and effectively.

Key Responsibilities:

  1. Plan and coordinate administrative procedures and systems, identifying opportunities for process improvement.
  2. Assess the performance of admin staff and provide coaching and guidance to optimize efficiency.
  3. Monitor inventory of office supplies and manage purchasing with attention to budget constraints.
  4. Oversee facilities services, maintenance activities, and tradespersons.
  5. Organize and supervise various office activities, including recycling, renovations, and event planning.
  6. Manage housekeeping, security, pantry, and cleanliness across the office.
  7. Ensure operations comply with policies and regulations.
  8. Stay informed about organizational changes and business developments.
  9. Facilitate the smooth flow of information within the company to support other business operations.
  10. Negotiate with vendors and travel agents to secure the best prices.
  11. Manage employee calendars and arrange domestic and international travel itineraries.
  12. Develop and manage vendor relationships, selecting vendors, coordinating deliveries, and monitoring commitments.
  13. Purchase, reorder, and maintain housekeeping supplies and other inventory.
  14. Maintain and upkeep all office assets, including AMCs (Annual Maintenance Contracts).
  15. Maintain good relations with government bodies and police officials.
  16. Track expenses to ensure compliance with cost budgets.
  17. Submit MIS reports on administration expenses to senior authorities.
  18. Evaluate and implement EHS and fire safety measures.

Required Skills & Qualifications:

  • Ability to work independently with minimal supervision.
  • Excellent documentation skills using MS Office applications.
  • Strong interpersonal skills and willingness to communicate with clients, colleagues, and management.
  • Good time management skills, including prioritizing, scheduling, and adapting as necessary.
  • Excellent oral and written communication skills.
  • Strong team player with expertise in admin support services.
  • Good mailing communication and basic drafting skills.
  • Proactive and reliable individual with ability to perform well under pressure.
