
Operations Support Coordinator

We are seeking a highly experienced and organized professional to oversee the daily support operations of our company, ensuring all activities run efficiently and effectively.
Key Responsibilities:
- Plan and coordinate administrative procedures and systems, identifying opportunities for process improvement.
- Assess the performance of admin staff and provide coaching and guidance to optimize efficiency.
- Monitor inventory of office supplies and manage purchasing with attention to budget constraints.
- Oversee facilities services, maintenance activities, and tradespersons.
- Organize and supervise various office activities, including recycling, renovations, and event planning.
- Manage housekeeping, security, pantry, and cleanliness across the office.
- Ensure operations comply with policies and regulations.
- Stay informed about organizational changes and business developments.
- Facilitate the smooth flow of information within the company to support other business operations.
- Negotiate with vendors and travel agents to secure the best prices.
- Manage employee calendars and arrange domestic and international travel itineraries.
- Develop and manage vendor relationships, selecting vendors, coordinating deliveries, and monitoring commitments.
- Purchase, reorder, and maintain housekeeping supplies and other inventory.
- Maintain and upkeep all office assets, including AMCs (Annual Maintenance Contracts).
- Maintain good relations with government bodies and police officials.
- Track expenses to ensure compliance with cost budgets.
- Submit MIS reports on administration expenses to senior authorities.
- Evaluate and implement EHS and fire safety measures.
Required Skills & Qualifications:
- Ability to work independently with minimal supervision.
- Excellent documentation skills using MS Office applications.
- Strong interpersonal skills and willingness to communicate with clients, colleagues, and management.
- Good time management skills, including prioritizing, scheduling, and adapting as necessary.
- Excellent oral and written communication skills.
- Strong team player with expertise in admin support services.
- Good mailing communication and basic drafting skills.
- Proactive and reliable individual with ability to perform well under pressure.
