Front Office Coordinator

The Role
As a key member of our team, you will be responsible for:
- Welcoming and assisting clients and other guests of the organization.
- Answering incoming calls and redirecting them to the appropriate party or handling caller inquiries.
- Assisting in organizing meetings and conference calls.
- Receiving mail and arranging dispatch.
- Ensuring the cleanliness and tidiness of the reception area and meeting rooms.
- Providing administrative support to the team as required.
- Working closely with team executives and other support functions to provide proactive and effective general administrative assistance.
- Scheduling and coordinating meetings.
- Making travel arrangements and preparing expense reports.
- Providing organizational support such as ordering supplies and equipment.
- Managing the office move to a new location.
- Managing contract negotiations and ensuring the fulfillment of vendor agreements and contracts.
- Liaising with third-party suppliers and vendors.
- Liaising with building management on facilities-related issues.
- Coordinating travel itineraries and making travel arrangements.
Ideal Profile
- You have at least 4 years of experience in an administrative assistant or receptionist role, preferably in the media and entertainment industry.
- You are organized and possess good interpersonal skills.
- You have good computer skills, including MS Word, Excel, and PowerPoint.
- You are service-oriented with excellent interpersonal skills.
- You have good communication skills and are comfortable handling phone calls in a positive and professional manner.
- You have working knowledge of epabx, file recording, administration, and housekeeping.
- You are a strong team player who can manage multiple stakeholders.
- You are a strong networker and relationship builder.
- You possess strong analytical skills and are comfortable dealing with numerical data.
