Front Office Assistant

**Patient Registrations and Admissions**:Assist patients with the registration process, accurately entering personal and medical information into the electronic health records (EHR) system.
Guide patients through admission procedures, ensuring completeness of required forms and documentation.
Verify insurance details and coordinate with billing and insurance departments as needed.
**Daily Cash Collections**:Handle cash transactions for co-payments, deductibles, and other patient-related payments.
Maintain an organized cash handling process, including accurate recording and secure storage of funds.
Reconcile cash collections at the end of each day and prepare necessary reports.
**Diagnostics Appointments**:Schedule and manage appointments for diagnostic tests, procedures, and consultations.
Coordinate with diagnostic departments, patients, and medical staff to ensure smooth scheduling and timely communication of results.
**Appointment Scheduling**:Coordinate patient appointments, surgeries, consultations, and follow-up visits, considering physician availability and patient preferences.
Manage appointment calendars and make necessary adjustments to accommodate urgent cases.
**Phone Calls Handling**:Professionally handle incoming calls and inquiries, providing accurate information or directing calls to appropriate departments.
**Patient Assistance**:Address patient concerns, inquiries, and complaints in a courteous and empathetic manner.
Liaise with medical staff and departments to ensure timely resolution of patient issues.
**Documentation and Record-Keeping**:Maintain organized and up-to-date records of patient registrations, admissions, and appointment schedules.
Ensure proper filing of documents and adherence to data confidentiality and privacy guidelines.
**Insurance Verification**:Verify patients' insurance coverage, eligibility, and benefits to facilitate accurate billing and reimbursement processes.
Collaborate with the billing department to address insurance-related queries.
**Visitor and Patient Services**:Welcome and assist visitors, patients, and their families, providing information, directions, and guidance as needed.
Maintain a welcoming and comfortable reception area for all stakeholders.
**Collaboration and Communication**:Collaborate with various hospital departments to ensure seamless patient flow and effective communication.
Relay important information, updates, and instructions to patients and medical staff.
Qualifications and Skills:
- High school diploma or equivalent; additional education or certification in healthcare administration is preferred.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in using office software (Microsoft Office, EHR systems).
- Customer service orientation with a friendly and professional demeanor.
- Ability to handle multiple tasks, prioritize, and work under pressure.
- Familiarity with medical terminology and insurance processes is a plus.
As a Front Office Executive with a focus on registrations, admissions, daily cash collections, and diagnostics appointments, you will contribute significantly to the hospital's operational efficiency and provide crucial support to patients and their families during their healthcare journey.
