Executive Administrative Assistant

Essential Job Responsibilities:
- Provide high-level, administrative support to executive team members; handling highly sensitive information with discretion, tact, and trustworthiness.
- Proactively manage and maintain complex and dynamic calendars and travel itineraries (calls, meetings (internal & external-facing), video, conferences, business meals, interviews, domestic and international travel, transportation, hotels, passports, and visas).
- Manage the day-to-day administrative functions for assigned executives (i.e. processing expense reports, preparing materials/presentations for meetings, coordinating executive meetings and off-sites, and etc.)
- Fulfill incoming requests, resolving scheduling conflicts and prioritizing competing needs with little to no supervision.
- Interface with executive team members and key stakeholders on all key projects and initiatives.
- Coordinate logistics for executive team visitors/clients using discretion and professionalism in all communications.
- Prepare visa documents for any travel to and from India
- Manage Brand store vendor
- Arrange Logistics for employee meet ups in various cities
- Any adhoc work required for India location management

Minimum Requirements
- 4+ years’ experience as an Executive Assistant supporting VP in a fast-paced and growing company
- Bachelor’s degree or the equivalent work experience
- Advanced MS Office Suite skills including Outlook
- Ability to think proactively, forwardly, and leverage resourcefulness and creativity when solving problems
- Excellent written, verbal, and non-verbal communication skills
- Experience with arrangement of complex schedules and logistics across multiple time zones
- Ability to multi-task, manage priorities, and accurately set expectations while balancing multiple initiatives
- Outstanding time management skills and attention to detail
- Strong planning, project management, organizational and analytical skills
- Ability to quickly learn new tools and technologies; Interest and experience in using technology and the Internet to improve work efficiency
- Expectation of complete confidentiality on all business matters
- Ability to effectively communicate and collaborate with a diverse range of people and job functions
