Executive Administrative Assistant

**Job Summary**:

The Executive Administrative Assistant will provide high-level administrative support to the Managing Director and other senior leaders as needed. The role involves managing complex calendars, coordinating travel and events, maintaining business contacts, and ensuring effective communication and confidentiality. This position requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously in a dynamic environment.
**Key Responsibilities**:
**1. Calendar and Schedule Management**:
- Manage and coordinate complex calendars for the Managing Director and senior leaders.
- Schedule and organize meetings, including agenda preparation, minute-taking, and tracking action items until resolution.
- Arrange domestic and international travel, including flights, accommodations, and local transport, and handle visa processing and Forex arrangements.
**2. Communication and Correspondence**:
- Draft and proofread correspondence, reports, and presentations.
- Manage all business communications and documentation with discretion and confidentiality.
**3. Office and Administrative Management**:
- Maintain and update business contact folders and other essential documentation.
- Provide administrative support, including filing, document management, and office supply coordination.
- Handle personal errands and family-related tasks for executives as required.
**4. Meeting and Event Coordination**:
- Plan and coordinate meetings, seminars, and special events.
- Prepare meeting agendas, take minutes, and ensure follow-up on action items.
- Coordinate client and guest visits, providing logístical assistance and support.
**5. Project Management and Tracking**:
- Assist with the planning and execution of projects driven by the MD’s office.
- Create and maintain trackers for projects, Work Stream Trackers, and Weekly Important Goals (WIGs).
- Support the Project Management Office with tracking performance metrics and project deadlines.
**6. Financial and Budget Management**:
- Prepare and process expense reports and invoices.
- Assist in tracking and managing the executive's budget and financial records.
**7. Relationship Management**:
- Build and maintain relationships with key stakeholders, clients, and partners.
- Provide excellent customer service and handle inquiries or issues with professionalism.
**8. Reporting and Analytics**:
- Collect and organize data for reports and presentations.
- Generate periodic MIS reports and assist with performance tracking.
**9. Coordination and Collaboration**:
- Coordinate between different departments and Heads of Departments (HODs) to collate reports.
- Support team members by adhering to company policies and providing timely approvals for requests.
**10. Confidentiality and Discretion**:
- Handle all confidential papers and sensitive information with the utmost care.
- Maintain confidentiality in all aspects of the role.

Pay: ₹25,000.00 - ₹30,000.00 per month
