**Job Description**:
Executive assistant for two MDs with assistance in administration

Trilingual speaking skills: English, Hindi and Gujarati

Required skills: Critical thinking, confidentiality in handling, presence of mind and mindful execution.

**Responsibilities**:

- Prepare and manage correspondence, reports and documents
- Coordinate daily calendars
- Plan appointments and events
- Organise and co-ordinate meetings, conferences and travel arrangements
- Maintain schedules and calendars
- Arrange and confirm appointments
- Organise internal and external events
- Handling incoming mail and other material
- Set up and maintain filing systems
- Set up work procedures
- Maintain the database
- Communicate effectively to answer inquiries and provide information
- Liaison with internal and external contacts
- Professional and reliable first point of contact
- Setting up of teams and zoom connections as well as in person meetings
- Daily updates to MD regarding pending/outstanding issues
- The role is confidential and the person must be able to exercise judgement in meetings, correspondence.
- Act as the point of contact between executives and employees/clients
- Facilitate internal communication (e.g. distribute information) and follow up on the to-do lists
- Flexibility and efficiency in managing calendar appointments, travel schedules, logistics as well as the ability to troubleshoot and take on ad-hoc special projects as and when required.
- Communication across teams/departments, preparing for meetings and follow-up on internal matters will also form part of the day-to-day work profile.
- Accurately tracks expenses by managing credit cards, bills and receipts. Process and submit receipts accurately and on schedule.
- Submit Timesheets on schedule.

**Skills and Qualifications**:

- Primary degree and relevant qualifications.
- 1 - 2 years experience an Executive Assistant
- Highly motivated and proactive with the ability to work independently and in a team
- A flexible and reliable working attitude required dependent on Managing Directors needs, even outside of working hours
- Attention to detail is essential along with logical thinking and problem solving skills
- Strong technical competency, especially working proficiency of Microsoft office 365(Word, PowerPoint,Excel)
- High level of integrity and experience in handling confidential information is a must.

**Salary**: ₹15,000.00 - ₹20,000.00 per month
