We are looking for a highly skilled Senior Administrative Assistant to provide critical support to our leadership team in India.
Position Overview:
The Senior Administrative Assistant will play a key role in managing the day-to-day administrative functions for the leadership team. This role requires a detail-oriented and proactive individual with extensive experience in administrative support, especially in a remote setting. The ideal candidate will possess strong organizational skills, advanced proficiency in Microsoft Office applications, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
Calendar and Meeting Management:
Manage and coordinate complex calendars for the leadership team, including scheduling and rescheduling meetings, conferences, and appointments.
Book and coordinate meeting rooms and virtual meeting setups, ensuring all logistical details are handled.
Prepare and distribute meeting agendas, minutes, and action items as required.
Administrative Support:
Handle travel arrangements, including booking flights, accommodations, and transportation.
Process and manage expense reports, ensuring accuracy and timely reimbursement.
Assist with preparing reports, presentations, and other documentation as needed.
Office and Event Management:
Organize and coordinate catering for meetings and events, including liaising with vendors and ensuring all requirements are met.
Support the planning and execution of team events and activities, both virtual and in-person.
Maintain and manage administrative supplies and equipment, ensuring availability and functionality.
Communication and Coordination:
Act as a liaison between the leadership team and internal/external stakeholders, managing correspondence and handling inquiries.
Provide exceptional customer service and support to internal team members and external partners.
Ensure all communications and documentation are handled with a high degree of professionalism and confidentiality.
Process Improvement:
Identify opportunities for process improvements in administrative functions and implement best practices to enhance efficiency.
Stay updated on administrative tools and techniques to continuously improve support operations.
Qualifications:
Experience:
Minimum of 5 years of experience as an Administrative Assistant or in a similar role, with a focus on supporting senior leadership.
Previous experience working in a multinational corporation is highly desirable.
Skills and Proficiency:
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with expense management tools.
Exceptional organizational and time-management skills, with the ability to manage multiple priorities and tasks simultaneously.
Excellent written and verbal communication skills in English.
Strong attention to detail and problem-solving abilities.
Additional Requirements:
Ability to work independently in a remote setting, with a reliable internet connection and a suitable home office environment.
High level of professionalism, discretion, and the ability to handle sensitive information confidentially.
