Role Description
This is a full-time hybrid role located in Ahmedabad, with flexibility for remote work. As an Executive Administrative Assistant, you will be responsible for providing executive support, administrative assistance, diary management, and effective communication within the organization. You will work closely with key stakeholders to ensure smooth operations and contribute to the overall success of the team.
Responsibilities:
Manage the Director's calendar, including scheduling meetings, appointments, and travel arrangements.
Screen and prioritize incoming communications, including emails, phone calls, and letters, and respond appropriately on behalf of the Director.
Prepare and edit correspondence, reports, presentations, and other documents as requested by the Director.
Coordinate and organize meetings, conferences, and events, including arranging logistics, preparing agendas, and taking minutes.
Act as a liaison between the Director and internal/external stakeholders, maintaining professional and effective communication at all times.
Conduct research and compile data as needed to support the Director in decision-making and strategic planning.
Manage and maintain confidential information with the utmost discretion and professionalism.
Anticipate the Director's needs and proactively provide support to ensure their time is used effectively.
Handle special projects and other duties as assigned by the Director.
Collaborate with other members of the administrative team to ensure seamless operations and support across the organization.
Qualifications:
Bachelor's degree in business administration, communications, or related field preferred.
Proven experience as an Executive Assistant or similar role, supporting senior executives or directors.
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
Exceptional written and verbal communication skills, with a keen eye for detail.
Discretion and confidentiality in handling sensitive information.
Flexibility and adaptability to changing priorities and requirements.
Proactive attitude with a willingness to take initiative and solve problems independently.
Previous experience in a corporate or executive office environment is highly desirable.
