JD of Executive Assistant

The Executive Assistant to the CEO will serve as a trusted partner and gatekeeper, ensuring the CEO's time is optimized and strategic goals are supported through efficient coordination, proactive communication, and operational excellence. This role demands a high level of discretion, professionalism, and tech-savviness.
Key Responsibilities

  • Manage and prioritize the CEO's calendar, appointments, meetings, and travel plans.
  • Act as the point of contact between the CEO and internal/external stakeholders.
  • Prepare and edit correspondence, presentations, reports, and other documents.
  • Responsible for managing monthly client invoicing and liaising with the accounts department for bookkeeping and expense record coordination, as needed.
  • Attend meetings, take detailed notes, and track action items to ensure follow-up.
  • Coordinate logistics for board meetings, investor meetings, and company-wide events.
  • Handle confidential information with the utmost discretion.
  • Conduct research, compile data, and provide actionable insights to support decision-making.
  • Support the CEO with personal administrative tasks as needed.
  • Collaborate with other departments to ensure alignment and facilitate smooth internal communication.
  • Anticipate needs and proactively manage day-to-day administrative tasks.
