Responsibilities:
Rhythm Of Business:
- Coordinate and manage rhythms of business such as all-hands meetings, town halls, and technical reviews in consultation with team leadership.
- Oversee execution, marketing, and business metrics related activities.
Business Operations:
- Manage budget and accounting processes, anticipate procurement needs, and handle vendor management.
- Collaborate with support teams including RE&F, HR, and Finance to resolve operational and process issues.
- Ensure compliance with policies and provide relevant information to teams.
Executive Support:
- Manage executives’ travel itineraries, calendars, and expense reports.
- Coordinate end-to-end logistics and schedules for internal and external executives, including global teams.
Team Support:
- Organize and plan team events, including off-site logistics.
- Act as the main point of contact for administrative tasks such as purchase orders, expense verification, and internal tool updates.
- Anticipate team needs and manage administrative tasks to ensure compliance with corporate policies.
New Hires and Workforce Planning:
- Ensure new hires are set up effectively with access, hardware, IDs, and relocation logistics.
- Maintain organizational distribution lists, org charts, and reporting.
- Manage onboarding and exit processes and formalities.
Asset Management:
- Track and manage physical assets within the team, including procurement and disbursement in line with policy.
Qualifications:
- Experience: Minimum of 5 years as an administrative assistant with experience in business operations, managing team rhythms, executive visits, team events, vendor management, and procurement.
- Education: Bachelor’s degree required.
- Top 3 Must-Have Hard Skills:
- Administrative experience in business operations.
- Strong communication skills with stakeholders.
- Experience in procurement and asset management.
Additional Skills:
- Experience managing executive support and team events.
- Proven ability to handle complex logistics and coordination tasks.
- Familiarity with budget management and vendor coordination.
