*Position Overview:*
*Key Responsibilities:*
1. *Office Management:* Oversee the daily office operations and maintain a clean, well-organized, and professional work environment. Handle incoming and outgoing mail and coordinate deliveries.
2. *Front Desk Support:* Serve as the first point of contact for visitors and callers, providing a friendly and professional welcome. Direct inquiries to the appropriate staff members and manage incoming calls effectively.
3. *Scheduling and Calendar Management:* Coordinate and manage appointments, meetings, and conference calls for executives and team members. Ensure schedules are updated and communicated promptly.
4. *Travel Arrangements:* Assist with travel planning, including booking flights, accommodations, and transportation for staff members.
5. *Data Entry and Record Keeping:* Maintain accurate and up-to-date records of important documents, employee information, and other administrative data. Ensure confidentiality and security of sensitive information.
6. *Document Preparation:* Draft and proofread various documents, including memos, reports, presentations, and correspondence. Ensure accuracy and consistency in formatting.
7. *Meeting Support:* Prepare meeting agendas, collate materials, and arrange logistics for meetings. Take meeting minutes and follow up on action items as required.
8. *Expense Management:* Assist in processing and reconciling expense reports and ensuring compliance with company policies.
9. *Vendor Management:* Communicate with vendors and suppliers, place orders, and track deliveries as needed.
10. *Assist HR Department:* Support HR initiatives such as new hire onboarding, maintaining employee records, and organizing company events.
*Qualifications and Skills:*
- High school diploma or equivalent; additional education or certifications in office administration is a plus.
- Proven experience as an administrative assistant or in a similar role.
- Proficient computer skills, including MS Office (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management abilities, with the capacity to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Attention to detail and the ability to maintain accuracy in a fast-paced environment.
- Demonstrated ability to handle confidential information with discretion and professionalism.
- Positive attitude, proactive approach, and a team-oriented mindset.
