Rockstar India is on the lookout for an organised Office Coordinator who possesses an eye for detail and thrives in a fast-paced environment.

This is a permanent full-time position based out of Rockstar's unique game development studio in Bangalore, India

WHAT WE DO:

  • We are a busy and organised team who ensure the smooth running of the daytoday operations of the Studio.
  • We support the Company's goals and values, demonstrating them in all work activities and interactions.
  • We are focused and we anticipate the needs of the Studio, providing positive and efficient support to the Studio and our visitors.

RESPONSIBILITIES:

  • Provide administrative support to the Admin Manager, Directors and Senior Management as required.
  • Coordinate business travel and hospitality arrangements for the Studio and our visitors.
  • Act as a key contact for other studios in relation to travelling employees.
  • Coordinate and maintain relationships with travel and accommodation providers.
  • Coordinate and maintain arrangements for guest house/apartment where required including care packs, visitor access, property cleaning & key pick up/returns.
  • Coordinate and assist travellers with immigration and entry requirements relating to business visitor travel.
  • Prepare and distribute business letters and travel packs.
  • Maintain the travel calendar, travel spreadsheet and studio movements.
  • Meet and greet studio visitors providing tours where applicable.
  • Maintain Administration processes and procedures including visitor and studio access ensuring correct fob access is allocated and preparing NDAs where applicable.
  • Maintain files and records with effective filing systems.
  • Provide Accounts Payable support including but limited to preparing expense reports via Concur,, reviewing invoices and processing purchase orders.
  • Provide assistance on projects and activities where required.
  • Provide support for internal events and employee related activities as required.
  • Provide cover for key areas of responsibility for the rest of the Admin Team as required.

QUALIFICATIONS:

  • Minimum 3+ years' experience in an Admin Coordinator role.
  • High proficiency on MS Office 360 Applications, Outlook, Excel, Word, PowerPoint.
  • Strong customer focus with the ability to appropriately manage expectations.
  • Ability to respond to urgent requests, to be flexible and to meet deadlines.
  • Ability to work overtime.

SKILLS:

  • Highly selfmotivated and proactive with ability to work both with mínimal supervision and as part of a team environment.
  • Ability to work swiftly and efficiently in a fastpaced environment and keep a level head while maintaining grace under pressure.
  • Excellent organisational skills and attention to detail.
  • Experience in booking corporate travel.
  • Strong focus on customer service.

PLUSES:

  • Experience working within the Creative Industries video games, film, television, music.
  • Experience working as a Personal/Executive Assistant, liaising with all levels of a business.
  • Experience using JDE systems, office management systems and procedures.
