Location: Pune
Job Summary:
We are seeking an experienced Administrative Assistant to manage a diverse range of responsibilities including business operations, executive support, team coordination, new hires and workforce planning, and asset management. The ideal candidate will have a proven track record in supporting large teams, handling executive logistics, and ensuring operational efficiency.
Key Responsibilities:
Rhythm of Business:
Collaborate with team leadership to manage and coordinate all hands meetings, townhalls, and technical reviews.
Monitor and report on execution, marketing, and business metrics.
Business Operations:
Oversee budget and accounting processes, anticipate procurement needs, and manage vendor relationships.
Work closely with support teams (RE&F, HR, Finance) to ensure operational efficiency.
Recommend and implement solutions to departmental operations and process issues.
Ensure compliance with policies and maintain operational hygiene.
Executive Support:
Manage executives’ travel itineraries, calendars, and expenses.
Coordinate logistics and schedules for internal and external executives, including global teams.
Anticipate and address the needs of executives to enhance their productivity.
Team Support:
Organize and plan team events and off-sites, including logistics and arrangements.
Act as the primary contact for administrative tasks, including purchase orders, expense verification, and internal tool updates.
Address team requests promptly while ensuring adherence to corporate policies.
New Hires and Workforce Planning:
Facilitate new hire onboarding, including access, hardware, IDs, and relocation logistics.
Maintain organizational distribution lists, org charts, and handle onboarding/exit processes.
Asset Management:
Track and manage physical assets, including procurement and disbursement in accordance with policy.
Qualifications:
Years of Experience Required: 5 years
Degrees or Certifications Required: Bachelor’s degree
Top 3 Must-Have Hard Skills:
Administration experience with large teams.
Experience in communication with stakeholders.
Proficiency in procurement processes.
Additional Skills:
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with enterprise resource planning (ERP) systems and asset management tools.
Strong organizational skills and the ability to manage multiple tasks simultaneously.
Experience in handling confidential information with discretion.
Ability to adapt to changing priorities and work in a dynamic environment.
