Facilities and Admin Executive

Your Role:
1. Provide pro-active executive assistance and lead office assistant team
Ensure office assistant tasks are being performed efficiently which include travel and hotel bookings for employees Ensure Petty Cash Register is maintained and recorded accurately & completely2. Maintenance of Office Supplies and Inventory checking/records
MRIB materials always readily available for Stock checking, Stationery & pantry ordering, Newspaper MR Letterheads, MR Envelopes, visiting cards, stickers and Lanyards3. Facilitate the renewal of Administration office contracts/ Insurance Policies
Ensure contracts are renewed on a timely basis and kept active. Ensure service levels of vendors are recorded, assessed and reviewed. Ensure office goods and Company cars are physically protected as well as insured at any time Allocation of duties for company driver, security guards and office boys4. Facilitate purchase of goods and general maintenance of office pertaining to Administration
Identify vendors who can provide Administrative and Marketing goods as per Marketing specification & ensure competitive prices are paid for goods and services purchased. Facilitate procurement of IT goods as per Munich Re global specification and requirement. Receive and test goods purchased meet acceptable quality standards and ensure maintenance of office assets Ensure that the pest control is done on timely basis Upkeep of plants, carpets, chairs etc.5. House-keeping & Security Guard Management
Daily upkeep of office attendance of office boys and washroom lady, arrange relieve duties in their absence Daily up keep of reception area (visitor register, courier register, inward-outward register etc) attendance of security guard and to arrange relief duties in his absence6. Maintenance & Billing
Maintenance of Furniture & Fittings, including Annual maintenance contracts Vendor contracts relating to office maintenance, insurance etc. Billings are submitted for approval by CFO on timely basis7. Any new tasks/ activities responsibility assigned by the manager
