Job Description: Admin Executive

We are looking for an experienced Admin Executive to handle day-to-day administrative operations, vendor management, facility management, security management, travel booking and arrangements, offsite and AGM planning, budget planning, monthly expense management, team handling, and other related activities.

**Responsibilities**:

- Handle day-to-day administrative operations, including managing office supplies, managing petty cash, maintaining records, and managing the reception area
- Manage vendor relationships, including negotiating contracts, managing deliveries, and ensuring timely payments
- Manage facility operations, including maintenance of the office space, ensuring safety and security of the premises, and managing the office equipment
- Manage security operations, including access control, visitor management, and emergency response procedures
- Coordinate travel bookings and arrangements, including flight bookings, hotel reservations, and transportation arrangements
- Plan and organize offsite events and AGMs, including venue selection, catering, and logistics
- Prepare budgets and forecasts, monitor actual spend against budgets, and report on variances
- Manage monthly expense reports and ensure compliance with company policies and procedures
- Manage a team of administrative staff, including setting goals and objectives, monitoring performance, and providing coaching and feedback

**Requirements**:

- Proven experience as an Admin Executive or similar role
- Excellent organizational and time-management skills
- Strong communication and interpersonal skills
- Experience in vendor management, facility management, security management, travel booking and arrangements, and budget planning
- Experience in team handling
- Ability to multitask and prioritize effectively
- Strong problem-solving skills
