Job Overview
We are seeking an experienced Executive Assistant to work closely with our Managing Director (MD) to provide high-level administrative support. This is a full-time, senior position located in Hyderabad. The ideal candidate will have 7 to 10 years of relevant work experience and will excel in aiding the MD to enhance productivity.
Qualifications and Skills
- Extensive experience in calendar management, ensuring all appointments and schedules are well-coordinated and conflicts are minimized (Mandatory skill)
- Proficiency in making detailed travel arrangements, including booking flights, accommodation, and transportation (Mandatory skill)
- Excellent communication skills, both written and verbal, to effectively interact with internal and external stakeholders (Mandatory skill)
- Skilled in coordinating and organizing meetings, including preparing agendas and taking minutes
- Strong problem-solving abilities to handle unexpected issues swiftly and efficiently
- Exceptional organizational skills to manage multiple tasks and prioritize workload efficiently
- Keen attention to detail to ensure accuracy in all administrative duties
- High degree of confidentiality and discretion when handling sensitive information
Roles and Responsibilities
- Manage the MDs calendar by scheduling meetings, appointments, and events, ensuring efficient time management
- Arrange travel plans and itineraries for the MD, including flights, hotels, and ground transportation
- Facilitate meetings by preparing agendas, taking minutes, and ensuring follow-up on action items
- Communicate effectively on behalf of the MD with internal and external stakeholders
- Perform general administrative tasks such as drafting correspondence, managing phone calls, and organizing files
- Conduct research and compile data to provide detailed reports for the MD
- Assist in managing special projects as assigned by the MD
- Ensure the confidentiality of sensitive information and maintain the highest level of discretion
