Facility Operations:

  • Oversee and manage day-to-day facility operations, ensuring that building systems (HVAC, electrical, plumbing, etc.) are operating efficiently.
  • Regularly inspect buildings, equipment, and systems to identify any potential problems and take corrective action.
  • Overseeing housekeeping, pantry, cafeteria (

Monitoring the foodvendors at site. Monitoring

inventory of food & beverages, vending machine,

and ensure all time availability of the same ), and

front officeservices.

  • Coordinating and managing internal events- board meetings, customer visits, town halls etc
  • Handling front office/reception.
  • Meet the health, safety and hygiene standards.
  • Take facility rounds to find out snags and initiate immediate rectification action.
  • Track stock of consumables (incl consumables and supplies for Client / GMC visits) and ensure optimal inventory levels). Co-ordinate for quotation from vendors and get PO created.
  • Monitor meeting room bookings and usage.
  • Horticulture and plantation maintenance.
  • Team Leadership:

  • Supervise and mentor facility staff, including janitors, technicians, and security personnel.

  • Provide training and guidance to team members to ensure effective and efficient service delivery.
  • Coordinate staff schedules and ensure proper coverage for daily operations.

Vendor and Contractor Management:

  • Coordinate with external vendors and contractors for maintenance, repairs, and projects.
  • Ensure quality service delivery as per SLA and within set budgets.
  • Oversee the work of contractors and vendors to ensure projects, events, repairs , etc,.are completed on time and within scope.

Maintenance and Repairs:

  • Develop and implement a preventive maintenance program to minimize downtime and ensure equipment & services availability.
  • Track and schedule repairs and maintenance to ensure minimal disruption to business operations.
  • Maintain records of all maintenance activities, equipment, and building services.
  • Coordinate with external vendors and contractors for maintenance, repairs, and projects.

Safety and Compliance:

  • Ensure compliance with health and safety regulations, including fire safety, emergency procedures, and environmental standards.
  • Conduct regular safety & hygiene audits ( restroom, caf, kitchen, etc,. ), fire drills to ensure preparedness.
  • Address safety hazards promptly with report and corrective actions.

Budget Management:

  • Assist the FM in budget preparation and monitor expenses to ensure cost-effective facility management.
  • Prepare reports on facility operations, maintenance activities, and expenses for management review.
  • Identify cost-saving opportunities and implement initiatives to optimize resource use.
  • Raising PRs and Processing the invoices on time and ensure timely payment to vendors.
  • Inventory and Supplies Management:

  • Monitor and manage inventory of facility-related supplies and equipment.

  • Ensure timely procurement of necessary materials and maintain vendor relationships for supply replenishment (stationery, food supplies, etc,.)

Client/Stakeholder Management:

  • Support the FM as the primary point of contact for all facility-related inquiries from internal and external stakeholders.
  • Address facility-related complaints and resolve issues in a timely and professional manner.
