Administration Executive

Role & responsibilities : The Admin Executive will be responsible for coordinating administrative activities between the head office and multiple construction project sites. The role involves ensuring smooth communication, maintaining project-related documentation, supporting project teams, and handling overall office administration efficiently.
Key Responsibilities:
- Coordinate between head office and project sites for all administrative and operational requirements.
- Maintain and update project-related reports, correspondence, and documentation.
- Track manpower deployment, attendance, and site staff requirements.
- Assist in procurement coordination, including follow-up with vendors, transporters, and suppliers.
- Support project teams with travel bookings, accommodation, and logistics arrangements.
- Maintain records of site expenses, approvals, and material dispatches.
- Monitor and ensure timely submission of site progress reports to management.
- Coordinate with HR for site employee joining, transfers, and documentation.
- Handle office administration stationery, housekeeping, courier, and asset management.
- Prepare MIS reports and assist management in reviewing site performance and updates.
Preferred candidate profile :
- Graduate in any discipline (preferably Business Administration or Civil background).
- 3 to 6 years of experience in administration within the construction or infrastructure industry.
- Strong coordination and communication skills.
- Proficient in MS Office (Excel, Word, PowerPoint).
- Knowledge of project documentation and construction workflow preferred.
- Ability to multitask and work under deadlines.
