Job Summary:

We are seeking a detail-oriented and proactive Back Office Executive to support our Service Department. The role involves coordinating service activities, managing communication channels, tracking expenses, and ensuring high customer satisfaction through timely feedback and preventive maintenance activities.

Key Responsibilities:

Outbound Calls:

o Conduct follow-up calls to customers regarding service schedules, feedback, AMC renewals, and preventive maintenance appointments.

Inbound Calls:

o Attend to customer queries, service requests, and complaints efficiently and escalate to the concerned team when necessary.

Service Allocation:

o Coordinate and allocate service jobs to the field service team based on skill sets, location, and urgency.

Expenses Tracking:

o Monitor, verify, and record all service-related expenses and ensure timely reporting to the finance department.

Voucher Creation:

o Prepare and manage service vouchers, ensuring accurate documentation and timely processing.

AMC Renewal Management:

o Track Annual Maintenance Contracts (AMC) due for renewal, communicate with customers, and assist the sales/service team in closure.

Customer Feedback Collection:

o Obtain and document customer feedback post-service to help the company maintain and improve service quality.

Preventive Maintenance Allocation:

o Schedule and assign preventive maintenance visits to the service team as per the contract terms and ensure timely execution.

Required Skills and Qualifications:

Bachelor's degree or equivalent experience.

Proven experience in a similar back-office or customer support role (preferred).

Excellent communication skills (verbal and written).

Strong organizational and time management skills.

Ability to multitask and handle service data accurately.

Proficiency in MS Office (Excel, Word) and CRM software (preferred).
