The opportunity
Data Entry & Documentation

• Input shipment data into CW1 system as per SOP and documents from the CS desk.
• Upload essential documents (Invoice, Packing List, HBL, MBL, BoE, approval emails) to eDocs.
• Check shipper/consignee codes in CW1; coordinate with shipper or overseas office to generate missing codes via Manager.

Shipment Execution

• Review special instructions, country regulations, and billing party before executing shipments.
• Follow up with customers for draft BL approval and confirm BL to origin.
• Accept import files and update Z22 milestone.
• Verify job profitability; obtain prior approval for loss-making shipments.

Pre-Alert & Manifest Filing

• Check and verify pre-alert documents; send pre-alerts to consignee.
• File manifest through approved vendors with respective carriers/co-loaders.
• Check inward/IGM details and ensure compliance.

Customer & Carrier Coordination

• Send automated/manual DSRs to customers as per SOP.
• Coordinate with carriers/CFS for free days and submit necessary documents.
• Liaise with CHA, shipping lines for CFS movement, invoicing, and port-related issues.
• Keep CS and customers informed of operational challenges and delays.

Invoicing & Cost Management

• Complete invoicing on time as per KRA.
• Receive final vendor invoices and submit to CoE Team for posting.
• Share payment details with vendors.
• Close all invoicing/costing, upload final documents to eDocs, and update status to CMP.

Delivery Order & BL Release

• Request job opening from Accounts to release Delivery Order.
• Print and release TGF DO post-payment or as per approved credit terms.
• Follow up and ensure timely release of MBLs from carriers/co-loaders.

Operational Excellence

• Attend daily morning team meetings; discuss and resolve issues with Manager.
• Complete assigned training within the timeframe set by Manager or HR.
• Prevent revenue leakage and credit notes by adhering to "First Time Right" practices.
• Respond promptly to calls/emails to avoid internal/external reminders.
• Complete tasks assigned by Manager within deadlines.
• Monitor and complete milestones on time.
