Position Overview
We are seeking a detail-oriented and analytical Contracts Administrator to join our dynamic team. This role is responsible for managing the complete contract lifecycle from quote to cash, ensuring compliance, and driving process improvements. The ideal candidate will serve as a key liaison between sales, legal, and finance teams while maintaining high standards of accuracy and efficiency in contract management.
Key ResponsibilitiesQueue Management & Operations
- Manage and prioritize Approvals, Closing, and Help Chat queues
- Provide backup support for Trials, Cases, and Auto Renewals queues as needed
- Own assigned escalations and ensure timely resolution
- Support JIRA ticket management in collaboration with Business Technology team
Contract Management & Processing
- Execute quote-to-cash processes and ensure accurate data entry into Salesforce (SFDC)
- Review and approve quotes for accuracy and compliance with company policies
- Assess signed DocuSign documents for opportunity closure and provisioning requirements
- Build and customize contracts based on sales team specifications
- Address sales representatives' contract and provisioning concerns with strategic recommendations
Compliance & Risk Management
- Monitor compliance with company policies and industry regulations
- Identify and assess contract-related risks
- Ensure all contract terms align with legal and business requirements
Stakeholder Collaboration & Support
- Collaborate effectively with Contracts team members, Legal, and Finance departments
- Analyze and resolve internal stakeholder requests independently and professionally
- Provide expert guidance on contract management best practices
- Support team audits and compliance initiatives
Process Improvement & Analytics
- Identify opportunities for process improvement and provide actionable insights
- Build, own, and maintain Salesforce reports with custom conditions
- Generate analytical reports to support business decision-making
- Contribute to developing and implementing contract management best practices
- Ensure effective resource utilization and flag system errors/bugs through ServiceNow
Training & Knowledge Management
- Train new hires and facilitate knowledge transfer within the team
- Create and maintain training documentation and materials for internal use
- Provide ongoing training and guidance on contract management best practices
- Support ad hoc projects as assigned
Required Qualifications
- 5+ years of experience in contract administration, sales operations, or related role
- Proficiency in Salesforce (SFDC) with report building capabilities
- Experience with DocuSign and contract management systems
- Strong analytical and problem-solving skills
- Excellent written and verbal communication skills
- Detail-oriented with strong organizational abilities
- Ability to work independently and manage multiple priorities
- Proficiency in Microsoft Office Suite
Preferred Qualifications
- Bachelor's degree in Business Administration or related field
- Experience with JIRA and ServiceNow ticketing systems
- Previous experience in training and documentation development
- Familiarity with quote-to-cash processes
- Experience in process improvement initiatives
