Job Title: Tender Executive / Bid Executive

Job Summary:

The Tender Executive is responsible for preparing, submitting, and managing tender documents, proposals, and bids for the organization. This role requires strong coordination, documentation, and communication skills to ensure timely and accurate submission of tenders while maintaining compliance with client requirements.

Key Responsibilities:

  • Identify and track relevant tenders, RFPs, and RFQs through portals, newspapers, and networks.
  • Review tender documents, requirements, terms, and conditions.
  • Prepare, compile, and submit tender documents in the required format within deadlines.
  • Coordinate with internal departments (finance, operations, technical, legal) to gather required inputs for tenders.
  • Prepare cost sheets, BOQs, and supporting documents.
  • Maintain tender databases, records, and follow-up trackers.
  • Handle online tender submission portals (GeM, CPP, private portals, etc.).
  • Communicate with clients/vendors for clarifications and updates.
  • Ensure compliance with company policies, legal, and contractual requirements.
  • Support business development and sales team in proposal writing and presentations.
  • Follow up on tender results, contracts, and agreements.

Skills & Competencies

  • Strong knowledge of tendering processes (government & private).
  • Excellent communication and writing skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and online tender portals.
  • Attention to detail and strong organizational skills.
  • Ability to manage deadlines and multitask.
  • Basic understanding of commercial, financial, and legal terms.

Qualifications

  • Graduate in Business Administration / Commerce / Engineering / Equivalent.
  • 2–4 years of experience in tendering, bidding, or proposal management.
  • Experience in facility management, events, construction, hospitality, or services industry is preferred.
