Executive Assistant

We are seeking an Executive Assistant to the Director who will function as the right hand to the director, handling a variety of administrative and personal tasks with efficiency and discretion. This role demands someone who is adaptable, meticulous, and capable of juggling multiple tasks. You will be responsible for not only standard administrative duties but also personal tasks for the boss, ensuring smooth operations within the office.
Key Responsibilities:
● Administrative Support: Provide day-to-day administrative support, including managing calendars, scheduling meetings, preparing agendas, and coordinating travel arrangements.
● Follow-up: Exceptional follow-up skills are a must; proactively track and follow up on pending tasks, projects, and communications to ensure completion on time.
● Coordination: Oversee office administration, liaising between departments, and managing supplies and office logistics.
● Personal Tasks: Handle any personal tasks and errands for the director with utmost discretion.
● Document Management: Prepare, proofread, and manage correspondence, reports, and presentations. Proficient in MS Office, especially Word and Excel, is essential.
● Communication: Serve as the primary point of contact for both internal and external stakeholders on behalf of the Director. Excellent written and verbal communication skills are required.
● Confidentiality: Handle sensitive information with the utmost confidentiality and professionalism.
Qualifications:
● Education: Graduation from a recognized secretarial college or equivalent educational background.
● Experience: 3-5 years of experience as an assistant or secretary to senior management, preferably to a Managing Director or CEO.
● Skills:
○ Excellent Follow-up Skills: Ability to track tasks, deadlines, and projects effectively. This is the most critical skill for the role.
○ MS Office Proficiency: Must have a strong working knowledge of Microsoft Word and Excel.
○ Shorthand: Ability to take dictation quickly and accurately.
○ English Language: Strong command of both spoken and written English.
○ Organizational Skills: Capable of managing multiple tasks simultaneously while maintaining attention to detail.
○ Negotiation Skills: Ability to negotiate effectively and diplomatically on behalf of the Directors, ensuring beneficial outcomes while maintaining positive professional relationships.
Additional Requirements:
● Personal Attributes: Must be hardworking, adaptable, and comfortable in a fast-paced environment. A proactive, can-do attitude is essential.
● Work Preferences:
○ Reside within 45 minutes' commute from the office.
○ Stable job history with a commitment to long-term employment.
○ A person with integrity and honesty, who values confidentiality and discretion.
○ Open to performing personal tasks for the Director as and when required.
