Job Summary:
The Executive Assistant provides high-level administrative support to executives, ensuring the smooth functioning of their schedules and operations. This role involves managing calendars, coordinating meetings, handling correspondence, and acting as a liaison between the executive and other stakeholders.
Key Responsibilities:1. Administrative Support:
- Manage and organize the executive's calendar, scheduling meetings, appointments, and travel arrangements.
- Prepare agendas, materials, and minutes for meetings.
- Draft, proofread, and edit correspondence, reports, and presentations.
2. Communication Management:
- Screen and prioritize emails, calls, and other communications on behalf of the executive.
- Act as a liaison between the executive and internal/external stakeholders.
- Handle sensitive and confidential information with discretion.
3. Meeting Coordination:
- Plan and coordinate meetings, including logistics, technology setup, and participant communication.
- Ensure executives are well-prepared with relevant documents and briefings.
4. Travel Arrangements:
- Organize domestic and international travel, including flights, accommodations, and itineraries.
- Manage travel expenses and prepare expense reports.
5. Project Management:
- Assist with special projects, research, and data analysis as assigned by the executive.
- Track deadlines, deliverables, and follow-ups for key initiatives.
6. Office Management:
- Maintain and organize the executive's office and files, both physical and digital.
- Order supplies, manage subscriptions, and handle vendor relations as needed.
Qualifications and Skills:Education:
- Bachelor's degree in Business Administration, Communications, or a related field (preferred).
Experience:
- Minimum of 3-5 years of experience as an executive assistant or in a similar administrative role.
Skills:
- Excellent organizational and time-management abilities.
- Strong written and verbal communication skills.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and scheduling tools.
- Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
- High level of discretion, professionalism, and attention to detail.
- Familiarity with project management tools and techniques (preferred).
Job Type: Full-time
Pay: ₹15, ₹20,000.00 per month
