Position Overview
We are seeking a proactive and highly organized Personal Assistant to the CEO. This role requires a dynamic individual capable of managing diverse responsibilities, including HR tasks, organizing CEO meetings, ensuring proper project reporting, handling client interactions, and coordinating meetings. The ideal candidate will act as a bridge between the CEO and other stakeholders, ensuring smooth operations and effective communication.
Key Responsibilities
1. HR Management:
- Assist in recruitment processes, including shortlisting candidates, scheduling interviews, and maintaining employee records.
- Support HR initiatives such as onboarding, training, and employee engagement activities.
- Ensure compliance with HR policies and procedures.
2. Meeting Setup:
- Schedule, coordinate, and prepare for CEO meetings with internal teams, clients, and stakeholders.
- Create and distribute meeting agendas, take minutes, and follow up on action points.
- Manage the CEO's calendar, ensuring efficient time management and conflict-free scheduling.
3. Project Reporting:
- Monitor ongoing projects, gather progress updates, and compile detailed reports for the CEO.
- Track deadlines and ensure timely completion of deliverables.
- Collaborate with team leads to address project challenges and ensure transparency.
4. Client Handling:
- Serve as the first point of contact for clients, maintaining a professional and courteous demeanor.
- Address client inquiries, resolve issues, and escalate concerns when necessary.
- Build and maintain strong relationships with key clients.
5. Meeting Coordination and Follow-up:
- Organize client and team meetings, ensuring all required resources are in place.
- Provide meeting summaries and follow up on pending tasks or decisions.
Qualifications and Skills
- Bachelor's degree in Business Administration, Human Resources, or a related field.
- Proven experience as a Personal Assistant, HR Coordinator, or similar role.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficiency in office tools like Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
- Ability to maintain discretion and handle confidential information.
- Problem-solving mindset and a proactive approach to work.
