Key Roles and Responsibilities

  1. Diamond Office Administrator

  2. Manage all administrative and compliance tasks related to diamond transactions.

  3. Ensure all documentation for shipping, import/export, and compliance meets Antwerp Diamond Office requirements.
  4. Assist in preparing invoices, declarations, and export documentation.
  5. Coordinate with the accounting team to ensure accurate financial documentation, shipment costing, and record reconciliation.

  6. Maintain internal systems and reporting in Excel and company databases.

  7. Logistics and Compliance Manager

  8. Manage the end-to-end logistics of diamond shipments — from supplier pickup to customer delivery.

  9. Coordinate with carriers, customs brokers, and internal teams to ensure timely and secure movement.
  10. Develop and implement compliance policies aligned with Belgian and international trade regulations.

  11. Manage the company's relationship with the Diamond Office, Customs, and local authorities.

  12. Shipping and Receiving Coordinator

  13. Handle physical movement of diamonds to and from the office.

  14. Coordinate with security personnel and logistics partners for safe transport.
  15. Conduct basic diamond checks (inscription, weight, and quality verification).

  16. Maintain accurate inventory logs in the internal system and Excel reports.

  17. Diamond Grading & Quality Control

  18. Conduct basic diamond checks, including inscription verification, weight confirmation, and grading characteristics.

  19. Support inventory tracking, packaging, and shipment preparation.
  20. Ensure accurate labelling, sealing, and documentation of diamonds before dispatch or receipt.

Requirements

  • 1–3 years of experience in diamond / luxury goods shipping, logistics, or compliance.
  • Basic knowledge of diamond grading, handling, and packing.
  • Proficient in Microsoft Excel and general computer operations.
  • Strong organizational and communication skills in English.
  • Detail-oriented, responsible, and able to work independently.
  • Immediate availability preferred.
