Position: Executive Assistant

Reporting to: Executive Director / Senior Management

Key Responsibilities:

  1. Conduct market research as per company and management requirements, including cold sales call when & where needed.
  2. Act as the primary point of contact between executive leadership and internal/external team, stakeholders, vendors, and clients.
  3. Coordinate and follow up with sales, logistics, accounts, and procurement teams, ensuring timely availability of resources and cost optimization.
  4. Proactively manage executive calendars, including scheduling, rescheduling, and prioritizing meetings, appointments, and engagements across multiple time zones.
  5. Coordinate and monitor issues arising from executive meetings, ensuring timely follow-ups, status tracking, and closure of assigned deliverables.
  6. Maintain, organize, and safeguard sensitive records, files, and proprietary information with strict confidentiality.
  7. Assist senior management in drafting, reviewing, and formatting official communications, business data, reports, presentations, and policy documentation.
  8. Anticipate management requirements and proactively implement solutions to enhance efficiency and productivity.
  9. Provide administrative and project support for assignments delegated by senior management.
  10. Data gathering and consolidation as per management instructions.

Required Qualifications:

  • Bachelors degree in Commerce/Business Administration, Management, or a related discipline (preferred).
  • Proven experience as an Executive Assistant or in a comparable senior administrative role supporting top-level executives.
  • Exceptional written and verbal communication skills, with the ability to draft complex and professional correspondence.
  • High proficiency in Microsoft Office Suite and other relevant enterprise productivity tools.
  • Demonstrated ability to manage competing priorities, meet strict deadlines, and perform effectively under pressure.
  • Strong interpersonal skills, professional maturity, and unwavering discretion in handling sensitive matters.
  • High emotional intelligence with strong stakeholder, client, and vendor management capabilities.
  • Strong attention to detail and accuracy.
  • Ability to work independently with minimal supervision.
