Executive Assistant to CEO

Role Overview
This role goes far beyond traditional EA responsibilities — it is best suited for an ambitious, sharp individual with a problem-solving mindset, high ownership, and the ability to operate under minimal supervision. You will work closely with the senior leadership team to manage business priorities, track mission-critical projects, coordinate with internal and external stakeholders, and help convert big ideas into structured execution.
The ideal candidate is someone who can anticipate needs before they arise, handle complex tasks independently, and adapt fluidly to the Director's working style and preferences. You must possess exceptional organizational skills, attention to detail, and the agility to respond swiftly to dynamic situations.
This role is best suited for someone with an entrepreneurial mindset — driven by ambition, dedication, and a genuine desire to grow alongside the leadership team. You should be resourceful, confident, and possess the ability to transform ideas into action — someone who takes pride in "making things happen."
As the position directly supports senior leadership, it may occasionally require extended working hours and business travel depending on schedules, meetings, and events. A flexible, can-do attitude and willingness to go the extra mile will be key to thriving in this position.
Key Responsibilities
- Provide high-level business and administrative support to the CEO and senior leadership
- Coordinate across Internal & External teams to ensure the timely completion of tasks, presentations, and project deliverables
- Support in research, content preparation, reporting, and liaising with external partners and stakeholders
- Maintain and follow through on key priorities, confidential matters, travel plans, and calendar management.
- Lead execution and communication for special projects, events, and internal initiatives ( emails, proposals, memos, and supporting documents etc )
- Prepare business summaries, dashboards, and industry insight reports as required.
- Participate in external representation at events, conferences, industry forums, and government meetings
- Collaborate across marketing, partnerships, press relations, and operations to ensure alignment and progress.
- Help manage external vendors, agencies, consultants, and partners to ensure deliverables and timelines
- Contribute to the development and refinement of internal systems, SOPs, and project tracking mechanisms.
- Support PR and relationship-building initiatives, including managing external representations, coordinating with industry bodies, event organizers, and media partners.
- Manage and maintain a dynamic calendar of appointments, meetings, and other plans, ensuring optimal time management and preparedness for all engagements.
Sounds Like You ?
We're looking for someone proactive, adaptable, and willing to go the extra mile — someone who thrives in dynamic environments, is open to handling the unexpected, and comfortable with travel and shifting priorities as the role demands.
- Exceptionally bright, well-presented, and self-motivated individual who thrives in a fast-paced, ever-evolving environment.
- Highly creative, passionate, and enthusiastic — with the ability to handle information of a sensitive, confidential, strategic, and critical nature.
- Understands business/activity goals, maintaining perspective amid shifting priorities while managing multiple tasks with balance and efficiency.
- Possesses superior attention to detail, excellent organizational skills, and the ability to meet tight deadlines while juggling several priorities.
- A good sense of humour, high integrity, and professionalism in dealing with senior professionals inside and outside the company.
- Strong written and verbal communication skills, with the ability to represent the Director and the organization effectively.
- Adaptable to diverse working styles, capable of taking initiative, and comfortable switching gears at a moment's notice.
- Displays a genuine sense of ownership — someone who goes beyond instruction to anticipate, plan, and execute seamlessly.
