Executive Assistant to the CEO
who will play a key strategic role in supporting executive operations, client relations, and organizational coordination.
This is an exciting opportunity to work directly with the CEO, drive operational excellence, and contribute to the smooth functioning of senior management initiatives.
Key Responsibilities
1. Executive Support & Calendar Management
- Manage the CEO's calendar, appointments, and daily workflow with precision.
- Coordinate senior manager reviews, bonus valuations, and PMS schedules.
- Track client-related issues for PMS discussions and follow-ups.
- Attend important meetings, draft minutes, and maintain action trackers.
- Ensure timely preparation of client review notes and internal compliance.
2. Client Relations & Administration
- Maintain an updated client database with detailed communication records.
- Organize client gifts and greetings for festivals, birthdays, anniversaries.
- Ensure timely response and follow-ups on key client matters.
3. Financial & Expense Management
- Handle CEO expense claims, vendor invoices, and ensure timely processing.
- Track budget vs. actuals and highlight key deviations.
- Coordinate with the CA for GST payments, refunds, and reconciliations.
4. HR & Team Coordination
- Monitor HR metrics such as attendance, WFH reports, leave balances, and compliance.
- Circulate internal communication, monthly updates, and newsletters.
- Assist in organizing team events, celebrations, and offsides.
- Support HR with PMS and appraisal process coordination.
5. Communication & Social Media
- Draft and review internal/external communications for the CEO.
- Support LinkedIn and other social media initiatives with content and scheduling.
- Ensure professional tone and brand consistency across channels.
6. Delivery Oversight & Reporting
- Review delivery reports and track KPIs for multiple departments.
- Maintain dashboards for ongoing projects, highlighting deadlines and risks.
- Ensure follow-up and timely completion of all action items.
7. Strategic & Administrative Support
- Prepare presentations, briefs, and management reports.
- Manage confidential information with discretion.
- Assist the CEO in ad-hoc projects, research, and coordination tasks.
Qualifications & Experience
- Bachelor's degree in Business Administration, Commerce, or related field.
- 4 + years of experience supporting senior leadership in EA or coordination roles.
- Experience in professional services, KPOs, accounting, or finance preferred.
- Proficiency in MS Office & tools like Google Workspace, Slack, Asana, etc.

- Completion of CEO-assigned projects within deadlines.
