Job Summary:

The Executive Secretary will be responsible for providing comprehensive administrative and secretarial support to the senior management team. The role involves managing calendars, coordinating meetings, handling correspondence, preparing Minutes of Meetings (MoM), and organizing travel arrangements to ensure smooth day-to-day operations.

Key Responsibilities:

  • Calendar Management:
  • Schedule and organize appointments, meetings, and conferences.
  • Maintain and update the Director's calendar, ensuring optimal time management and prioritization.
  • Email & Correspondence Management:
  • Manage and prioritize incoming emails and communications.
  • Draft, review, and send correspondence on behalf of the Director when required.
  • Maintain confidentiality and professionalism in all communications.
  • Meeting Coordination & Documentation:
  • Organize and coordinate internal and external meetings.
  • Prepare meeting agendas, presentations, and related documents.
  • Record and circulate Minutes of Meetings (MoM) and follow up on action items.
  • Travel & Logistics:
  • Arrange domestic and international travel, including flight bookings, hotel accommodations, and transportation.
  • Prepare detailed itineraries and ensure all travel-related documentation is in order.
  • Administrative Support:
  • Maintain proper filing systems (digital and physical) for easy retrieval of documents.
  • Handle expense reports, reimbursements, and other administrative tasks.
  • Liaise with internal departments and external stakeholders as required.

Qualifications & Skills:

  • Graduate in any discipline (preferably in Administration or Management).
  • 3–6 years of experience as an Executive Assistant / Executive Secretary supporting senior management.
  • Excellent written and verbal communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • High level of discretion, confidentiality, and professionalism.
