About the Role
We are looking for a highly organized and proactive Personal Assistant to support the Director across multiple business operations, including Gecko Programmes, Integer Training, and other related entities.
The ideal candidate will be responsible for managing emails, calendars, meetings, and coordination across different teams and clients. This position requires excellent communication skills, attention to detail, and the ability to manage priorities efficiently in a fast-paced, multi-company environment.
Key ResponsibilitiesEmail and Communication Management
- Manage and organize multiple company inboxes (Gecko Programmes, Integer Training, NLT, Gecko Care, etc.).
- Prioritize, draft, and respond to emails on behalf of the Director in a professional and timely manner.
- Track pending replies and follow up on critical communications.
- Maintain confidentiality and ensure all correspondence is handled with discretion.
- Prepare summaries and escalate important matters when required.
Diary and Calendar Management
- Manage the Director's calendar, scheduling internal and external meetings across time zones.
- Coordinate with staff, clients, and external partners to confirm availability.
- Prepare meeting agendas, share documents in advance, and ensure proper follow-ups.
- Prevent scheduling conflicts and maintain a clear view of daily priorities.
Team and Client Coordination
- Liaise with staff, tutors, agents, and clients across all active projects.
- Track deadlines, action items, and project deliverables across departments.
- Maintain accountability and provide progress updates to the Director.
- Coordinate with finance, operations, and marketing teams for reports and updates.
Administrative and Operational Support
- Maintain and organize digital files and records on Google Drive, Notion, or Zoho.
- Prepare and update trackers for enrolments, invoices, meetings, and other key activities.
- Assist in creating presentations, reports, and meeting notes.
- Handle travel arrangements, bookings, and basic expense tracking.
Requirements
- Minimum of 2 years of experience as a Personal Assistant, Executive Assistant, or Virtual Assistant.
- Excellent spoken and written English communication skills.
- Strong organizational and time management abilities.
- Proficiency with Google Workspace (Docs, Sheets, Calendar, Drive) and Microsoft Outlook.
- Experience managing multiple email inboxes and handling confidential information.
- Tech-savvy and comfortable using modern tools (Notion, Slack, n8n, ClickUp, WhatsApp Web, etc.).
Preferred Skills
- Experience in education, training, or e-commerce industries.
- Familiarity with Zoho CRM, Google Meet, and Telegram for communication and tracking.
- Ability to draft formal correspondence, letters, and reports.
- Excellent follow-up discipline and attention to detail.
