1. Position Overview
The Administration Officer is responsible for managing and coordinating all administrative operations of the institution, ensuring efficient functioning, compliance, and support for academic and non-academic departments. The role requires strong leadership, communication, and experience in school or college administration.
2. Key ResponsibilitiesA. Administrative Operations
- Oversee day-to-day campus administration including front office, transport, housekeeping, and facility management.
- Manage documentation, records, attendance systems, and administrative databases.
- Ensure all policies and procedures are followed as per institutional standards.
B. Academic Administration
- Coordinate academic schedules, timetables, examinations, and student-related administrative tasks.
- Support admissions, enrollment, fee-related administration, and student onboarding.
- Prepare circulars, notices, academic reports, and communication materials.
C. Staff Coordination
- Assist with staff recruitment, onboarding formalities, attendance monitoring, and leave management.
- Coordinate internal meetings, training sessions, and communication between departments.
- Maintain staff records and HR-related administrative files.
D. Student & Parent Support
- Handle administrative queries from students and parents.
- Manage parent communication through emails, SMS, ERP, or phone.
- Support organization of school/college events, functions, and programs.
E. Infrastructure & Resource Management
- Monitor campus maintenance, cleanliness, classroom readiness, and safety.
- Coordinate with vendors, service providers, and maintenance staff.
- Oversee procurement of stationery, equipment, and administrative supplies.
F. Compliance & Reporting
- Maintain statutory files, accreditation documents, and inspection-related records.
- Prepare monthly/quarterly administrative reports for management review.
- Ensure compliance with institutional and regulatory guidelines.
3. Qualifications
- Bachelor's Degree required.
- MBA/PG Diploma in Administration or HR preferred.
- Mandatory experience in school/college administration (3–7 years).
4. Skills & Competencies
- Strong communication and interpersonal skills.
- Proficiency in MS Office & ERP/School Management Software.
- Organizational and multitasking abilities.
- Problem-solving and decision-making skills.
- Ability to coordinate with multiple stakeholders efficiently.
