Job Title: Assistant Manager HR & Administration
Location: CST, Mumbai
Department: Human Resources & Administration
Reports To: HR Manager / Senior Management
Job Summary:
The Assistant HR Manager & Administration will support the HR department in managing day-to-day activities and oversee administrative functions to ensure smooth operations. The role will require effective communication, organizational skills, and the
ability to handle HR-related tasks and administrative duties in a fast-paced freight forwarding environment.
Key Responsibilities:
HR Responsibilities:
1. Recruitment & Onboarding:
Assist in recruitment processes by sourcing candidates, conducting
interviews, and coordinating with recruitment agencies.
Manage the onboarding process for new employees, ensuring smooth
induction and compliance with company policies.
Employee Relations:
Serve as the point of contact for employee queries and concerns.
Facilitate conflict resolution and ensure positive workplace culture.Payroll & Benefits Administration:
Support the payroll process, including attendance tracking, leave
management, and overtime calculations.Performance Management:
Assist in the performance appraisal process by gathering feedback,
setting up review meetings, and maintaining records.Training & Development:
Coordinate employee training sessions and workshops, ensuring
employees skills are up to date.
Maintain training records and ensure employees attend mandatory
sessions.
6. Compliance:
Assist in audits related to HR and employee records.
Administration Responsibilities:
1. Office Management:
Oversee day-to-day office operations, including procurement of office
supplies, managing office inventory, and maintaining office cleanliness.
Handle travel and accommodation arrangements for senior management and employees.
2. Facilities Management:
Supervise the maintenance of office facilities and equipment.
Coordinate with vendors and service providers for repairs, maintenance,
and office upkeep.
3. Documentation & Record Keeping:
Maintain accurate records for HR and administrative functions, including employee office, attendance sheets, and office maintenance logs.
Ensure compliance with documentation standards and confidentiality
policies.
4. Event Planning:
Plan and coordinate company events such as employee engagement
activities, festivals, and team-building events.
5. Communication:
Act as a liaison between management and employees for announcements and updates.
Prepare and circulate internal memos, notices, and communications.
Qualifications & Requirements:
Education: Bachelors degree in human resources, Business Administration, or related HR field.
Experience: Minimum 5 years of experience in HR and administration, preferably within the freight forwarding or logistics industry.
Skills:
Strong knowledge of HR functions including recruitment, payroll,
employee relations, and compliance.
Excellent communication and interpersonal skills.
Proficient in MS Oice (Excel, Word, PowerPoint) and HR software.
Strong organizational and time management skills, with the ability to
handle multiple tasks.
