
Administration Executive

Job Purpose
To provide administrative and operational support for the care business while maintaining excellent communication with carers, clients, and healthcare professionals. Fluent English communication (spoken and written) is the most important requirement for this role.
Key Responsibilities
Communication & Coordination (Top Priority)
- Communicate effectively in fluent English with carers, (NoK), customers, District Nurses (DN), GPs, and pharmacies.
- Handle phone calls, emails, and documentation with clarity and professionalism.
- Provide accurate updates, guidance, and support to team members and stakeholders.
Administrative & Operational Tasks
- Prepare and manage rosters for carers and staff.
- Conduct visit notes and log note auditing to ensure compliance.
- Manage invoicing and wages processing.
- Track and follow up on T debtors.
- Support recruitment activities including coordination and follow-up.
- Schedule and track spot checks, supervisions, and reviews.
- Participate in bidding and huddle meetings.
- Make OT referrals as required.
- Allocate CSA courses and ensure completions.
- Assign QCS policies and monitor compliance.
Compliance & Quality
- Support quality assurance by auditing and reviewing records.
- Ensure all activities comply with company standards and care regulations.
Skills & Requirements
- Excellent English communication skills (spoken & written) – Mandatory.
- Proficiency in MS Office / Google Workspace.
- Attention to detail and strong organizational skills.
- Ability to multitask, prioritize, and meet deadlines.
