Job Summary
We are seeking an organized and energetic Multi-Tasking Executive to provide crucial support across various departments. This role is the backbone of our office operations, requiring a candidate who can seamlessly switch between administrative tasks, data management, and coordination duties. The ideal candidate is a quick learner, detail-oriented, and thrives in a fast-paced environment where no two days are the same.
Key Responsibilities
1. Administrative Support:
- Handle front desk activities, including receiving guests, answering phone calls, and managing correspondence.
- Assist in scheduling meetings, preparing meeting minutes, and making travel arrangements for staff.
- Manage office supplies inventory and place orders as necessary.
- Coordinate with vendors for office maintenance and services.
2. Data Management & Entry:
- Accurately enter and update data related to inventory, sales, vendor details, and employee information into designated systems (e.g., MS Excel, company software).
- Assist in generating daily, weekly, and monthly operational reports.
- Maintain and organize physical and digital filing systems.
3. Operational Coordination:
- Act as a liaison between the head office and various retail outlets for communication and document flow.
- Support the operations team with tasks such as tracking outlet performance data, managing petty cash, and processing basic invoices.
- Assist in coordinating logistics for new store launches or marketing activities.
4. General Support:
- Provide support to other departments (HR, Marketing, Sales) as needed for various projects and tasks.
- Perform any other ad-hoc duties as assigned by the management to ensure smooth business operations.
Required Qualifications & Experience
- Education: Bachelor's degree in any discipline.
- Experience: 0-2 years of experience in an administrative, backend support, or executive assistant role. Freshers with relevant internship experience are encouraged to apply.
Key Competencies & Skills
- Computer Proficiency: Excellent knowledge of MS Office (especially MS Excel and MS Word).
- Organizational Skills: Strong ability to multitask, prioritize work, and manage time effectively.
- Attention to Detail: High level of accuracy in data entry and general work.
- Communication Skills: Good verbal and written communication skills in English and [local language].
- Adaptability: A flexible and willing attitude to take on a variety of tasks in a dynamic QSR environment.
- Proactive & Willing to Learn: A self-starter who shows initiative and eagerness to contribute to team goals.
