*1. Recruitment and Selection:*** Gather job requirements, create job descriptions, and manage the recruitment process for sales and marketing roles.* Post ads, screen resumes, shortlist candidates, conduct initial interviews, and arrange further interviews with relevant managers (including MD if needed).* Perform reference checks, extend job offers, and negotiate terms.* Obtain MD approval and submit documents to the HR Head for offer issuance and secure email acceptance.
**2. Employee Onboarding:*** Complete paperwork, assist new sales hires with GreytHr and Field Assist app installation.* Conduct virtual induction sessions to introduce company culture and provide sales employees with a PDF product catalog.* Inform sales employees about leave, TADA, B&D policies, notice periods, and office/login timings.* For Head Office (HO) employees, arrange workstations and supplies.* For sales/marketing employees, arrange a minimum of three days of field training in Ex-HQ (sales) or Guwahati (marketing).* Collect post-training assessment sheets.
**3. Attendance Report:*** Prepare and verify monthly attendance reports for all sales employees using FA and MIS data.* Review and verify monthly attendance reports for marketing and HO employees.
**4. Rewards and Recognition:*** **A) Employee Work Anniversaries:** Track anniversaries, prepare certificates, order personalized sippers, and present/send gifts by the anniversary date.* **B) Employee Birthdays:** Track birthdays, prepare cards/messages for the WhatsApp Group, order ceramic cups, and present/send gifts by the birthday.* **C) Retailer Recognition:** Track sales, identify top Guwahati retailers, prepare monthly appreciation certificates, and send them via ASM/SO.* **D) Monthly Target Achievement Certificate:** Issue monthly certificates to sales employees achieving overall and FP targets.
**5. Employee Separation:*** Upon receiving resignation, discuss with the manager and employee, acknowledge receipt, and confirm the last working day/DB NOC submission via email.* Inform employees about notice periods and other obligations via email.* Arrange exit interviews, ensure company property return, and immediately disable system access (email, Field Assist).* **Full and Final Settlement:** Mediate NOC collection, verify with managers and MIS, send to MIS for expense preparation, then to HR Head for FNF processing after CSO/AGM approval.
**6. Maintain HR Dashboard:*** **Employee Data:** Ensure data accuracy for name, designation, department, HQ, DOJ, DOB, reporting structure, and contact details.* Timely update the HR dashboard with new joinings, PIPs, and exited employee status.
**7. Office Administration:*** **1. Stationery and Supplies:** Maintain stock, order as needed, and request replacements for items like mice, keyboards, or workstations. Conduct regular checks on AC, washrooms, and water filters.* **2. Courier Services:** Ensure timely collection of factory couriers at HO and maintain tracking for all HO-dispatched couriers (Marketing and R&R gifts).* **3. House Rent and Electricity Services:** Ensure prepaid electricity functions properly. Collect and send house rent and postpaid electricity bills to Accounts on time.* **4. Office Keys and Access Control:** Ensure only authorized personnel access office keys.
